How to write an invoice that gets paid fast

A professional invoice is not just a payment request — it’s the final document in your client relationship. These six practices, used by freelancers who average under 14 days to payment, make the difference between an invoice that gets processed immediately and one that sits in a client’s inbox for 60 days.

Use a unique sequential invoice number

Every invoice must have a unique, sequential reference number (INV-001, INV-002, or 2026-001). This enables clean accounting records, facilitates dispute resolution when payments are questioned months later, and signals professional practice to your client’s accounts payable team. Invoice numbers also appear on bank transfers as payment references — without one, reconciling payments to invoices becomes a manual matching exercise that delays your payment. Never reuse numbers; never skip numbers.

Write specific, verifiable line item descriptions

The most common cause of invoice payment delays is vague descriptions that trigger internal approval questions. “Design work — August” requires a manager to verify what was agreed before approving payment. “Homepage UI redesign — 3 revision rounds included (12 hrs × $95/hr = $1,140)” requires no verification — it matches the brief, the quantity, and the agreed rate. For each line item: include the deliverable name, the work period, and if hourly, the hours and rate. Specific descriptions are processed faster and challenged less frequently.

Always include a specific due date, not just payment terms

Invoices that say “Net 30” are deprioritized compared to invoices that say “Due: 15 March 2026.” For new clients or smaller projects, Net 7 or Net 14 significantly improves cash flow compared to the default Net 30. Due on Receipt is appropriate for one-time transactions and first-time clients where you have no established payment history. State late payment terms explicitly

A late payment clause reduces payment delays without damaging client relationships — it’s a professional standard, not a personal accusation. “Invoices overdue by more than 7 days accrue interest at 1.5% per month on the outstanding balance” is recognised globally as standard commercial practice. Many jurisdictions (UK Late Payment Act, EU Late Payment Directive, US Prompt Payment Act) also give you statutory rights to late payment interest and recovery costs — a late payment clause enforces these rights clearly. Add it to your Terms & Conditions field in the Payment tab.

List every payment method you accept

Friction in the payment process directly correlates with delayed payment. Every obstacle between “client approves invoice” and “payment initiated” adds days to your payment cycle. List your bank transfer details (account name, account number, sort code / routing number / IBAN / SWIFT), your PayPal email, your Wise handle, your Stripe payment link URL, and any other method you accept — all in the Payment Methods section. The easier you make payment, the faster it happens. International clients particularly appreciate seeing Wise and SWIFT/IBAN details together.

Match the invoice design to your brand and the client relationship

Your invoice is the last communication in a project and the first reminder of your professionalism when payment is due. Invoice terms every freelancer must know

Understanding standard invoice terminology prevents costly misunderstandings with clients, accountants, and tax authorities. These are the 12 terms that appear most frequently in commercial invoicing worldwide.

Net 30Payment due 30 calendar days from the invoice date. The most common B2B payment term globally. Net 7 and Net 14 are more common for smaller independent contractors and improve cash flow significantly.
Due on ReceiptPayment expected immediately upon receiving the invoice. Standard for first-time clients, one-time purchases, and any transaction where you have no established payment history with the client.
PO NumberPurchase Order number assigned by your client’s procurement department. Including it on your invoice speeds up their accounts payable approval process and directly reduces payment delays in enterprise clients.
VAT / GSTValue Added Tax (Europe, UK) or Goods & Services Tax (Australia, Canada). If registered in your jurisdiction, you must include your tax registration number and charge the applicable rate. Not including it on an eligible invoice is a compliance failure.

Pro Forma InvoiceA preliminary invoice sent before work begins to confirm the scope, price, and payment terms. Not a request for immediate payment; used for client approval, customs declarations, and import documentation. Clearly label it “Pro Forma” to avoid confusion with a final invoice.
Credit NoteA document issued to reduce or cancel a previously issued invoice — typically used when a service is returned, work is disputed, or an invoice error needs correction. A credit note is the formal accounting mechanism for reversing an invoice; issuing a revised invoice without a credit note creates duplicate records.
Late Payment InterestInterest charged on overdue invoice amounts. In the UK this is governed by the Late Payment of Commercial Debts Act (8% over base rate). In the EU, the Late Payment Directive sets a minimum of 8% above ECB rate. In the US, rates vary by state. Stating your rate on the invoice enforces your right to claim it.

How do I export my invoice as PDF?
Click “Download PDF.” Your browser’s native print dialog opens. Select “Save as PDF” as the destination (on macOS this appears automatically; on Windows choose “Microsoft Print to PDF” or equivalent). This uses the browser’s native rendering engine for perfect A4 output at print quality — fonts, borders, and colors render at full resolution, not as a screenshot. On Chrome and Edge, the output is particularly clean.
Can I add my company logo?
Yes. In the “Your Info” tab, click the logo upload area and select any PNG, JPG, or SVG file. Your logo appears in the invoice preview immediately and renders at full resolution in both PDF and PNG exports. The logo is stored in localStorage as a base64 data URL, so it persists between sessions. If you change your logo, simply upload the new version.
How do I add multiple tax rates?
In the “Items” tab, Tax 1 is always visible. Click “Add second tax” to reveal Tax 2. You can name both independently (e.g. “VAT” and “State Tax”, or “GST” and “PST”) and set independent percentage rates. Both appear as separate line items in the totals section, above the final total. The discount is applied before tax — both tax rates are calculated on the discounted subtotal.
What currencies are supported?
20+ currencies: USD, EUR, GBP, CAD, AUD, JPY, CHF, AED, SAR, INR, BRL, MXN, SGD, HKD, RUB, CNY, AMD, NZD, NOK, SEK, DKK, and more. Clearing your browser’s site data will delete the saved state — export to PDF or PNG before doing this. The data does not sync between browsers or devices.
What are the payment terms options?
